Subject: Annual Meeting Proxy – PLEASE COMPLETE AND SUBMIT BY 5:00 PM 10/14/22
WE NEED YOUR ATTENDANCE OR YOUR PROXY – If you will not be attending the Annual Meeting please complete the attached proxy and return to the management office no later than 5:00 pm Friday, October 14, 2022.
Quorum is comprised of unit owners present at the meeting in person or on video or phone, and via proxies and must be met in order to hold the Annual Meeting and to conduct the business of the Board of Directors Election.
The attached proxy can be printed out, completed and signed manually or you may enter the information in the attached fillable form and sign it electronically. Then simply return the form to the management office. If the office is closed you may drop it in the black drop box located at the clubhouse entrance or you can email it to [email protected].
The proxy is used for attendance purposes in establishing a quorum and does not give anyone the right to vote for the Board of Director’s for you which is the only business the Council of Unit Owners will be conducting at the meeting. Only you can vote for the directors which is done through Simply Voting.
You have the right to assign another unit owner that will be attending the meeting as your proxy but please check with that unit owner first before assigning them as your proxy to make sure they will be attending the meeting. As a reminder unit owners can hold a maximum of five proxies. To assign another unit owner as your proxy to help establish quorum, enter their name and address on the first line of the proxy. Or, you can leave the first line blank thereby assigning the Board Secretary as your proxy who can hold an unlimited amount of proxies. Enter your unit information and sign the form. There are printed proxy forms available at the clubhouse if you do not have the ability to print one or complete one electronically.
